Protocols for SMIU Faculty Online Training on Zoom

During a meeting on Zoom, the number of participants is general large vis-a-vis the available time, and the agenda involving several critical issues. In order to ensure that every input receives importance, the following protocols are proposed. They will help streamline the discussion, and facilitate future follow up.

  • Participants are requested to kindly keep their microphones muted, except when it is their turn to speak. Open microphones carry echoes as well as background noises and interfere with the discussion.
  • It may also be helpful to turn off the camera except when needed. Video transmission takes more bandwidth and may place additional burden on the system.
  • Participants are requested to ask for the floor by an electronic request. The requests will be granted in the order in which they are received.
    • Mute your microphone during the session and only turn it on if you need to ask a question to the trainer, turn-on your camera, and start speaking.
    • You can raise question through chat to host / Trainer
    • You can give hand gestures using the emoticons, for example Raise Hand if you have questions.
    • When finished, kindly mute your microphone again, and if desired, turn off your camera.
  • Participants who have the floor are requested to keep their comments short, so that everyone has a chance to raise their concerns.
  • In order to further economize on time, participants may submit their questions and comments in writing directly on the chat option, or by sending an email to the organizer. These messages can be answered or clarified in writing by the relevant staff in real time.
